Job Summary

ATCO is currently looking for a Family Executive Assistant  to support the Chairman and Board of Directors. The ideal candidate for the job will be a proactive problem solver with exceptional communication skills and meticulous attention to detail, preferably with a legal background. 


The candidate will have previous experience working in an office environment, performing administrative duties, and supporting management. Given the changing nature of the executive landscape, the candidate will be relied upon for flexibility and foresight while maintaining confidence related to high-level systems and operations.


Please note, candidate must be a Saudi National.

Education Requirements:
  • Bachelor's Degree in Electrical Engineering. 

 

Experience & Knowledge Requirements:
  • Experience: Typically, 3-5 years of experience in electrical and technical sales within the power Transmission and distribution sector, with specific experience in the KSA utility market often preferred.

  • Technical Knowledge: In-depth knowledge of LV, MV & HV electrical products, systems, and relevant international standards (e.g. IEC)

 

Skills Requirements:
  • Excellent communication, presentation, and negotiation skills.

  • Strong problem-solving and analytical abilities.

  • Demonstrates great relationship-building skills and a customer-focused approach.

  • Proficiency in English; Arabic language abilities are also required.

  • Other Requirements: A valid Saudi Arabian driving license may be necessary for client and site visits.

Job Responsibilities

  • Provide efficient personal assistance and correspondence support to the family office and BoD, routing correspondence as necessary and taking the initiative in drafting replies, where appropriate, to ensure that all communications are handled appropriately.

  • Act as the first point of contact for internal and external parties who wish to contact or meet the chairman and board of directors and screen the requests to ensure those with genuine and vital reasons are prioritized.

  • Provide sophisticated calendar management. Prioritizes inquiries and requests while troubleshooting conflicts with little guidance; makes judgments and recommendations to ensure smooth day-to-day engagements.

  • Administer correspondence, manage incoming calls and prioritize phone messages, emails, and mail. Handle all calls and visitors with grace, sophistication, and professionalism.

  • Make travel arrangements for transportation, and accommodation.

  • Organize and distribute circulars received by the chairman and board of directors to concerned functions and follow up with circulars that require responding.

  • Follow all relevant operational procedures and instructions so that work is carried out in a controlled and consistent manner.

  • Supervise arrangement of all calendar meetings and bookings to ensure meeting arrangements requirements are met efficiently.

  • Perform administrative and office support, including word processing, filing system, contact database maintenance, etc.

  • Review and source the private household, organize their leaves and required arrangements in coordination with HR and GR.

  • Review legal forms and contracts and communicate with legal agency as required.

  • Confidentially organize all legal documents.

  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business.
